Data Security Policy

Purpose

This policy defines how Web Rocket Pro protects data collected, processed, and stored during the delivery of our digital marketing services. It applies to all employees, contractors, and systems that handle client data.

Scope

This policy covers:

Data submitted to Web Rocket Pro by clients 
Data generated as part of service delivery (e.g., analytics, ad reports) 
Data stored on Web Rocket Pro servers or by approved third-party providers 
Access, transmission, and deletion practices related to client data

Data Collection and Access

We collect only the data necessary to perform our digital marketing services, such as:

Contact and account information 
Website analytics and advertising data 
Content assets (e.g., images, ad copy, brand materials)

Client data is accessible only to authorized personnel and is used solely for the purposes outlined in our contracts and Privacy Policy.

Data Storage and Security

Web Rocket Pro uses secure cloud-based infrastructure and third-party services that meet industry standards for encryption, data isolation, and security compliance (e.g., SOC 2, ISO 27001-certified providers).

Security measures include:

Encrypted data transmission (TLS 1.2 or higher) 
Access controls based on least privilege and need-to-know principles 
Two-factor authentication (2FA) for staff access to client systems 
Regular vulnerability assessments and software updates

Credential Management
and Protection

At Web Rocket Pro, we take great pride in the trust our clients place in us by sharing sensitive login credentials. We treat this information with the highest level of care and implement strict security measures to ensure it remains secure.

These measures include:

Encrypted storage of credentials using industry-standard encryption protocols 
Use of password vaults with access logging and multi-factor authentication 
Access restrictions to credentials on a need-to-know basis only 
Credential disposal protocols to securely delete credentials after use or upon service termination

We never share client credentials outside our organization or store them in unencrypted files or communication channels.

Data Retention and Deletion

Client Data Retention Policy Web Rocket Pro maintains clear and responsible data retention timelines based on client status:

Account Termination: Client files and data are retained for 30 days after account termination. After this period, all associated data is permanently deleted from our systems and cloud infrastructure. 
Inactive Services: For clients with inactive or paused services (i.e., no active campaigns, strategy work, or billing activity), data is retained for up to 60 days from the last date of activity. After 60 days of inactivity, all associated data is permanently deleted unless the client resumes services or requests extended storage.

Client Access and Notification:

Clients will be given full access to all stored data and deliverables prior to deletion. 
A notification email will be sent at least 7 days prior to the scheduled deletion date. 
No data is recoverable after deletion. Clients are encouraged to download and archive all necessary materials prior to the retention period ending.

No Data Kept Post-Deletion: 
Once the data is deleted, Web Rocket Pro does not retain backup copies in any form.

Incident Response

In the event of a data breach or unauthorized access, Web Rocket Pro will:

Investigate the incident immediately 
Notify affected clients within 72 hours (or earlier where required by law) 
Take all necessary steps to contain and mitigate the impact 
Provide a summary of findings and preventive actions taken

Third-Party Vendors

We vet and monitor all third-party service providers for compliance with our data security standards. Each provider is required to enter into a Data Processing Agreement (DPA) or similar contractual arrangement.

Policy Updates

This Data Security Policy is reviewed and updated at least annually or when significant changes are made to our infrastructure or operations. Clients will be notified of any material changes.
